Process Task Automation

Workflows that run themselves. Automate the repetitive PLM work tied to process tasks — linking, revising, status changes, and log entries configured once per task template and executed automatically at the right moment.

What it is

The solution, defined.

DefinitionProcess Task Automation (PTA) is a no-code automation layer for Pro.File PLM processes. It performs the repetitive work around each process task — linking documents, creating revisions, changing statuses, and writing log entries — automatically, at the exact moment a task is created, started, or finished.

Change and release processes are where engineering time quietly disappears. Every task brings the same housekeeping: find the drawing and link it, create the revision, set the status, write the modification-log entry. Under deadline pressure, steps get skipped — and the audit trail suffers.

PTA lets your administrators configure those steps once per task template, in a web hub, with no code. From then on they run automatically — server-side steps interleaved with standard PRO.FILE dialogs, in exactly the order you designed, always under the user's own permissions. Your users simply work their tasks as they always have.

Benefits

Why teams choose it.

Faster change cycles, consistent execution, and zero retraining for your users.

Faster change cycles

Tasks stop waiting on manual housekeeping — linking, revising, and status changes happen the moment the task moves.

Done right, every time

The same steps run in the same order on every task. No forgotten links, no skipped status changes, no missing log entries.

A cleaner audit trail

Modification-log entries are written automatically and consistently — ready for every audit and review.

Zero retraining

Automation is invisible to end users. They keep working in the desktop client exactly as before.

Safe by design

Every step runs under the user's own permissions, fails loudly with a clear message, and never blocks the task itself.

Owned by your admins

Automations are built and changed in a web hub — no developers, no code, no client installs.

Use Cases

Where it makes a difference.

Real situations where Process Task Automation pays for itself.

Change management

Engineering change orders

When the implementation task starts, create new revisions of affected items and link them; when it finishes, set statuses and log the change.

Result: Changes implemented the same way, every time

Document control

Document release

As the approval task closes, link the released drawing to its part and move it to the released status automatically.

Result: No released document left unlinked

Engineering

New part introduction

Prompt the engineer with a search-and-link or create-and-link dialog at task start, so required documents are always attached.

Result: Complete data before the task can move on

Quality

Problem report triage

Background steps run as soon as a review task is created, moving the report into the queue without anyone chasing it.

Result: Faster response to quality issues

Quality assurance

Regulated & audited processes

Every automated action is recorded in the modification log with consistent wording.

Result: Audit-ready evidence by default

PLM administration

Gradual process improvement

Activate one trigger on one template, prove it, then roll automation out across your processes at your own pace.

Result: Low-risk, incremental adoption

Value Proposition

Configure the work once. Never do it by hand again.

PTA turns the repetitive steps around every process task into reliable, audited automation — without changing how your people work.

Without it

  • Engineers repeat the same link, revise, status, and log steps on every task
  • Steps get skipped under deadline pressure
  • Inconsistent modification-log entries
  • Changing the routine means retraining everyone

With Process Task Automation

  • Steps fire automatically when a task is created, started, or finished
  • Identical execution on every task
  • Log entries written automatically and consistently
  • Change the template once in the web hub — behavior updates for everyone
Deployment & Manageability

Simple to deploy. Simple to own.

Built for Pro.File in general and molded to your environment through designed configuration parameters — no bespoke code, and nothing your team has to babysit.

Up and running in four steps

  1. Install PTA into your Pro.File environment — guided by the Installation Guide, or done for you by Cre8tive.
  2. Open the web hub as an admin-group member and choose a task template.
  3. Arrange the steps — automatic and interactive — and activate the trigger you want: NEW, START, or END.
  4. Done. The next task on that template runs the automation. Turnkey environments arrive with little or no configuration needed.

Easy to manage, day after day

  • One web hub to author and monitor every automation — no client installs for authoring
  • Each trigger activates independently per template, so you can roll out gradually
  • Nothing extra to secure — every step runs under the user's own PLM permissions
  • Clear failure messages, and a failed automation never blocks the task
  • No end-user change — nothing to retrain when automations evolve
Key Capabilities

Under the hood.

The capabilities that make it work.

Three triggers per template

Automations fire on task creation (NEW, in the background), task start (START), or task finish (END) — each configured and activated independently per task template.

Interactive and automatic steps

Server-side automatic steps interleave with standard PRO.FILE dialogs — search & link, create & link, choices — in exactly the order the author arranged them.

Permission-safe by design

Every step runs under the user's own PLM permissions. An automation can never do anything the user couldn't do by hand.

Fails loudly, never silently

If a step fails, the sequence stops with a clear error — never a half-done run, and a PTA failure never blocks the task itself.

Authored in a web hub

Admin-group members build and monitor automations from a dedicated web hub — no code, no client installs for authoring.

Invisible to end users

Users just work their tasks in the desktop client as always; the automation happens around their actions.
